This page covers installers and their staff: what we hold about your business and the people in it, and what we do with homeowners' details when they reach you. We handle personal information under the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What we hold about you

About the business: its name, ABN, what it does, the areas it covers, its accreditations and insurance and their expiry dates, its bank reference on invoices, its orders, invoices, payments and any late-payment charges under the agreement.

About the people in it: name, work email, mobile, the role they were given on the platform, when they last signed in, and what they did on the platform (an audit trail of the decisions that move money or leads).

What the platform records as you work: calls, text messages and emails to homeowners made through it, appointments, reported sales and the documents attached to them, and the messages we send you.

Homeowners' details

A homeowner gives us their details, consents to being contacted, and we pass them to the installer we match them with. From then on you hold that homeowner's personal information too, and the agreement binds you: use it for that enquiry and the sale that follows, never for anything else, never pass it on, and comply with the Privacy Act 1988 (Cth), the Spam Act 2003 (Cth) and the Do Not Call Register Act 2006 (Cth).

We keep the homeowner's details as well, and we may contact them as a quality check on the appointment: the agreement says so and the homeowner is told.

Why we hold it

To run your account: match leads to your area, book appointments, invoice you, and settle the replacement claims the agreement allows.

To contact you about your leads, your batches and your money — the emails this platform sends.

To keep the audit trail a business needs when money is involved.

Who we share it with

The companies that run our tools:

  • Supabase — the database and files, in the Sydney region (ap-southeast-2)
  • Vercel — hosting
  • Resend — outgoing email
  • Jotform Sign — the electronic signature on the agreement
  • Twilio — text messages, once it is switched on

Some of those companies are based outside Australia (Resend, Vercel and Jotform are United States companies). The database is in Sydney.

Nothing is sold. Anyone else only where the law requires it, or with your consent.

How long we keep it

Records tied to money — invoices, payments, orders, reported sales — are kept as long as Australian tax and business record-keeping law requires. For everything else the period is not settled: [RETENTION PERIOD TO FOLLOW].

Keeping it safe

Every table is read and written through rules the database itself enforces, so an account only ever reaches its own rows. Scalesun staff who can move money or leads must sign in with a second factor. Every such decision is written to an audit log.

If a breach could seriously harm someone, we tell them and the Information Commissioner, as the Notifiable Data Breaches scheme requires.

Seeing, correcting or deleting what we hold

Your own name, phone, password and your company's details are on your Account page in the platform. For anything else, email [CONTACT EMAIL TO FOLLOW]: we answer within 30 days. Records we must keep (invoices, the signed agreement, the audit trail) stay.

Cookies

This site runs no analytics and sets no advertising cookies today. The platform sets the cookie that keeps you signed in — nothing else. If that changes, this page changes first.
